“At the end of 2020, the University decided to equip itself with a dematerialized agreement management tool.
Following the classic steps associated with this type of project, we analyzed our needs and then benchmarked the solutions on offer.
Several types of software were available, more or less adapted to the operation of a higher education establishment. Some were specialized in contract management, while others were not, such as DIGITECH’s A.I.R.S. Courrier solution. We asked for presentations and demonstrations of various tools.
In the end, we chose DIGITECH’s proposal for a number of reasons. First of all, we felt confident with this company, which knows the world of the civil service in general (in particular FPT and FPE). Secondly, we found the support particularly well developed compared with our experience with other service providers during the benchmark phase: DIGITECH sent its representatives to us on two occasions, and they were very attentive to our needs, trying to think of solutions that could be adapted to the technology available. Finally, it was the global aspect of the solution that convinced us: other suppliers specializing in convention management offered modules to be nested and subscriptions to be combined.
We were again very well supported in terms of training and, above all, post-configuration follow-up. This obviously required the involvement of in-house teams (and a certain appetite for IT on the part of the main administrator).
By 2024, the solution will have been fully deployed in the plant, with the settings for electronic signatures (by all parties!) now in place.
Already, as a legal affairs officer specializing in agreements, I’ve noticed an improvement in agreement processing times and easier follow-up thanks to updated agreement sheets. Change management support is ongoing, but initial feedback is more than encouraging.”
